This Privacy Policy explains how NegotiationsAI, Inc. (doing business as "Negotiations.AI," "we," "us," or "our") collects, uses, and discloses information about you when you:

If you use the Services through an organization (for example, your employer), that organization may control the account and any content submitted to the Services (such as negotiation materials). In that case, we process information on behalf of the organization under applicable agreements (for example, a subscription agreement or data processing addendum).

2. Information we collect

We may collect the following categories of information:

2.1 Information you provide

  • Contact information such as your name, email address, company, and job title when you contact us, request information, or book a demo.
  • Account information such as your email address, authentication data, and workspace/role information when you create or administer an account.
  • Customer content such as text you paste, prompts, notes, files you upload, and outputs you generate in the Services.
  • Communications you send to us (for example, emails) and any information you choose to include.

2.2 Information we collect automatically

  • Usage and device data such as IP address, browser type, device identifiers, pages viewed, time spent, referring URLs, and general location (derived from IP address).
  • Cookies and similar technologies used to operate the Site and understand usage. We use Google Analytics, Microsoft Clarity, and Apollo on the Site to help measure and improve performance, but only after you opt in through our cookie banner. Those providers may then set analytics and related cookies or browser storage entries and collect information about your use of the Site.

2.3 Information from third parties

We may receive information from third parties, such as scheduling providers (if you book a demo), identity providers (if your organization enables SSO), or service providers that help us operate the Services.

3. How we use information

We use information we collect to:

  • Provide, maintain, and improve the Site and Services.
  • Create and administer accounts and workspaces.
  • Generate outputs and deliver features you request.
  • Communicate with you (for example, responding to inquiries and sending service-related notices).
  • Analyze usage and performance, including through analytics tools.
  • Protect the security and integrity of the Site and Services, including preventing fraud and abuse.
  • Comply with legal obligations and enforce our agreements.

4. AI processing and model providers

The Services may use automated systems (including AI models) to process customer content and generate outputs. We may use third-party model providers and other subprocessors to provide the Services.

We do not use your private negotiation content to train public models. We may use limited information to operate, support, and improve the Services (for example, to debug issues, prevent abuse, and improve reliability), consistent with applicable agreements and law.

5. How we share information

We may share information in the following circumstances:

  • Service providers and subprocessors that help us run the Site and Services (for example, hosting, analytics, customer support, and AI processing), subject to appropriate confidentiality and security obligations.
  • With your organization if you use the Services through a workplace account, administrators may access and manage account information and customer content.
  • Legal and safety if we believe disclosure is required by law or necessary to protect rights, safety, and security.
  • Business transfers in connection with a merger, acquisition, financing, or sale of assets.
  • With consent when you direct us to share information.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

6. Data retention

We retain information for as long as reasonably necessary to provide the Services and for legitimate business purposes, such as complying with legal obligations, resolving disputes, and enforcing agreements. Retention may vary depending on the type of information and your organization's settings.

7. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your choices and rights

8.1 Marketing communications

You can opt out of marketing emails by using the unsubscribe mechanism in the message (if applicable) or by contacting us. You may still receive transactional or service-related communications.

8.2 Access, correction, and deletion

Depending on your location and how you use the Services, you may have rights to request access to, correction of, or deletion of your personal information. If you use the Services through an organization, your organization may control these requests; you may need to contact your administrator.

8.3 U.S. state privacy rights (including California)

If you are a resident of a U.S. state with privacy laws (including California), you may have additional rights, such as the right to know, delete, or correct certain personal information, and the right to opt out of certain sharing used for targeted advertising. We do not knowingly sell personal information.

If you are located in the EEA, United Kingdom, or Switzerland, you may have rights under applicable law, including the right to access, correct, delete, or restrict processing of your personal information, and to object to certain processing. You may also have the right to lodge a complaint with a supervisory authority.

9. International transfers
