1. Does it build a real negotiation fact base?
The tool should ingest or reference the inputs that shape commercial judgment. That includes contracts, order forms, redlines, pricing history, spend, usage, supplier performance, meeting notes, stakeholder constraints, benchmarks, and market evidence.
Ask the vendor:
- Which inputs can the system use directly?
- Can the buyer mark evidence as trusted or uncertain?
- Can it identify missing facts?
- Can it distinguish sourced evidence from AI inference?
If the system cannot explain where an assertion came from, it should not drive a negotiation decision.
2. Does it model BATNA, ZOPA, and walk-away logic?
AI negotiation software should not only draft persuasive language. It should help define the commercial range.
Look for structured support for target, acceptable, and walk-away positions. Ask how the system handles multiple issues: price, term, volume, payment timing, SLAs, scope, implementation, liability, data rights, and exit options.
The best output is not a single recommendation. It is a set of options with the trade-offs made explicit.
3. Does it create trade packages?
Procurement negotiations are rarely won by arguing over one number. A useful platform should generate multiple give/get packages and show the rationale for each.
For example:
- Lower price in exchange for longer term.
- Faster payment in exchange for price protection.
- Scope flexibility in exchange for service credits.
- Volume commitment in exchange for capacity reservation.
Ask whether the system can compare packages by value, risk, supplier attractiveness, and approval needs.
4. Does it support scenario modeling and rehearsal?
A strong tool should help the team practice supplier pushback before the meeting. It should simulate objections such as "we cannot go lower," "executive approval is required," "capacity is constrained," or "the offer expires this week."
The goal is not theater. The goal is to help the buyer stay inside the approved range and ask better questions under pressure.

5. Does it preserve human approval?
For strategic supplier negotiations, AI should not silently approve concessions. The platform should separate draft recommendations from approved positions.
Ask:
- Can finance, legal, operations, and executives review the strategy brief?
- Are approval thresholds configurable?
- Is the exact supplier-facing language visible before it is used?
- Does the audit trail show who approved each concession?

6. Does it capture institutional memory?
Negotiation software should improve over time. After each meeting, the system should capture what happened, what the supplier revealed, which concessions moved the deal, and what the team would do differently next time.
This memory is valuable for category managers, CoE leaders, and executive approvers. It also helps new buyers avoid repeating the same discovery work every year.
7. Does it fit the procurement operating model?
Finally, evaluate whether the software matches how enterprise procurement works.
Look for role-based access, approval workflows, templates, category mapping, collaboration, audit logs, security posture, and integration flexibility. The workflow should support procurement governance, not bypass it.
